A good communication management plan, would define the following

1. Bare minimum reports and documentation required for the project

2. The mode of communication (Email, Presentation, Record,Letter,Memo,Report etc.)

Making construction project management 100% paperless is not practically feasible considering that certain contractual documents have to be preserved in hard copies.

But by following a good communication management plan, atleast redundancies in reporting format and information transfer could be avoided thus resulting in lesser paper work!

First, the civil engineers should come out from the old technologies, and get awareness about the new technology. Every civil engineers must have the knowledge of computer oriented.  The Engineers in project site oriented [except planning & billing section] must know how to operate the system. No body in the awerness of handling & using the computers in the project Site.

Computers with compare to the papers is a very good storage device.Nothing will miss. Nobody except the authorise people don't miss use any informations. We have to overcome from the all other engineering departments.

At the KOM (Kick off Meeting), mandatory documents deliverable is to be decided and thrashed out with the Client. Also, the periodicity of submission, the mode of submission is to be agreed upon with the Client. Preferably, Client can be convinced to accept soft copies as much as possible except where the hard copies are essential. Transmission of other information can also be made through freely available Google doc with all in networks.

SAP & ERP are the software available to reduce the burden. Print hard copies only , when it is very essential to be submitted to the Client as agreed upon earlier. Encourage electronic media as much as possible. Also, a phone call can reduce amp tin number of paper works.

It is possible with technology. There are some buzzwords like E-Commerce, E-Governance & ERP etc. By resorting on computer network system we can make our office paperless. But its ridicules that some organisation started computer networking but are unable to remove papers from their office. The result is their employees have to work on computer as well as on paperwork. So, now they are from paper to, paper+computer office.

Careful planning, seminars and orientation should come first prior to the start of the project. project engineers should adopt new technologies for the project advancement.

Plan well, take advance actions on probable hurdles and bottlenecks, and effecively use a well defined project "Situation Report" SITREP, without fail at decided intervals, between persons concerned in the responsibility Matrix, with a condensed copy for information to the top management.

Pugalendhi ji i agree that if we use computers at project sites then we can greatly reduce the use of paper which will help us in reducing pollution as well as save the trees.The project managers need to understand that if the computers are used for all processes and reports then its easier to check that afterwards as all the documentation is in a single system.

But certain things need to have a written proof for which we can make use of paper.

Vibha Ji i agree with you that most of the work today is getting computerised because of which there is a less need to do the paper work but i would also say that some documents are such that there is a need to have a hard copy of them.But yes we can certainly reduce the paper work in any business and moreover by doing things on computer we can also save costs by saving on the usage of paper.

tablet pc and PDF-autucad-acrobat-microsoft office and OCR  chips are the best and very effective tools, we can achieve paperless yet meaningfull communication

the project documentation should be computerised and print outs taken only for important documents. also tech awareness among the site people should be increased. standard formats , reporting systems and communication system should be devoloped in order to avoid mis management.

best way is to use internet as an effective tool for communication and to use computer as a medium for data storage.

1. See , instead of our signature we can use some encrypted code or we can use veri sign software .. so i think instead of duplicating records , its better to use soft copy.

2. Also nowadays online banking is more common than other way of banking where we have to stand in long queues to carry out trivial duties.

reduction  in paper waste depends upon  awareness of technology as well as reach of technology,upgradation of technology.I donot oppose that technology but technology reduces the responsibilty towards  one self, maintenance of data, recovery of data should be safe & secure as well.Technology can reduce paper work but upto a certain extent only

Except very critical contract documents and bill certifications, everything can be made paperless. Accounts, measurements, project schedules, procurement data.. all these can be made system integrated.

Yes , by reducing paper work we can use moretime on Technicalities of the project i.e more Project Engineering . The only paper work which is necessary is to have " Minutes of Meeting " which should cover recording all stakeholder's commitments towards project's delivery in one " Master Minutes of Meeting "  to be monitored, Co-Ordinate and Controlled by Project Manager  . The period of it's update should be bi-Weekly - Implies you will have 96 Master Monnitoring sheets for One Year Project !!!

Yeah, Naimish is right...documents like pour cards, check list, punch card etc can not be minimised but the paperworks in planning, purchase, accounts, QS, planning etc can be minimised by using ERP, SAP etc.

yes i do agree with naimish on this that it is not easy to reduce the paper work at the workplace, and it is not that everybody are tech savvy at the workplace and people are still doing a very good job with old practices with all that paper work...

Particularly at project sites it is deficult to reduce paper work.

Because inspection reports, pour card , punch list , test reports all these things you have to do manualy & you have to maintain it's record.
