Periodic process audits (Say quarterly) would highlight its compliance, adhoc and random process deviations for lack of child processes, increasing gaps between actual business and the automation due to ever changing business.

In my opinion a lot of costs can be minimized and efficiency can be increased if there is a dedicated process audit team whose job is to continuously monitor the processes and keep fine tuning it with the business changes. Another gret advantage would be, changes will be small in quantity and size so the delivery as well as quality would be better. Adoption of new technologies, trends would be much easier.

Hi All

First of all, we all know the basic of process audit and it has been rigthly put across my both the teams very well. So know has any doubts on the work of process audit team. The question which is coming out is should I have in house porcess audit team or can I out source the same to some external organization.

The comapny which has set in it goal, objectives, KPI correctly, then we need to have a dedicated porcess leadership team in house, but the combination of whole team can be of temporary or full time, depnds up the objective of the company & each business unit. Because each business unit is responsible for P/L in the organization.

Based on my exp, what I have seen in Retail client, they try to out source this to an external firm, why because they may not have right motivated team in place which has a solid carerr part inside the organisation. Because of this reason they do not get the rigth guys into the team. But what I have is seen they have dedicated process audit leadership team in house, which comes out with the planning, strategy.

This they pass out to the partners or vendor who will perform in collaboration to execute the strategy. These partners also some times form the part of the core planning team.

These services are offered by almost top consulting firm today in the world.

Just one closing remark, never think of process audit team as overhead, else it means we do not have rigth job executions responsabilties for them or they do not have authorithy or power to change the process. Then it will always be called as overhead.

Process audit team is required which will increase the efficiency, but dedicated process audit team could be an overhead. Why not inhouse team from other depts. audit various funcitons?

As corporate governance needs preceedence over all other factors in today most challenging time further to retain customers & business continuity, need to have dedicated audit team. This necessarily means that audit team is comprising of professionals who do not end up in any unlawful activity or otherwise & give proper justice to their task v/s in house other teams doing audit, where chances of influenting once decision is much greater.

Hi everyone

Dedicated audit team is necessity specially when size of retail operations are huge and there is a distance between planners and implementors.  It is alway better to have a in house team who is constantly watching process vis-a-viz feed backs and advising to cut out the wastages and add improved /modified steps which are becoming need of the hour and fast changing scenario.

Though it may look as overhead in the operations in the long run it brings in efficiency by blocking the loopholes and cutting costs.

Process audits are very important in retail operations must not be seen as an overhead  since it revolves around verification of the manner in which: 1) people; 2) material; 3) machines, etc., mesh together to produce a product.

The process audit is also concerned with the validity and overall reliability of the process itself. For example, is the process consistently producing accept-able results? Do non-value added steps exist in the process? Are processes cur-rent in terms of meeting the customer’s existing and future requirements?

Bear in mind the process audit has two active modes of operation—appraisal and analysis. While in the appraisal mode, keep this question in the front of your mind: are personnel involved in the production process per-forming in accordance with company manufacturing process plans, procedures, work instructions, workmanship standards, etc.?

In the analysis mode, on the other hand, question the procedures, work instructions, and so forth, used in support of the process(es) being audited—are they helpful or detrimental? Thorough or sketchy? Does duplication of effort exist between sub-functions? Are any non-value added steps apparent? Does the overall process complement the expressed or implied quality objectives of the organization: short-term customer satisfaction, long-term repeat business, continued profitability and growth?

Cut the inefficiency or lags at the begining and continuously align processes with changing business operations and make the automation always gapless.

I agree with shahus version... if the objective of having such a process of 'PROCESS-AUDIT' in place is well comprehended then it is always better to have a inhouse team-comprising of a member from all the functions in the system, this team could have a broader perspective, judgement.....also addressing the COST factor the most.......

You are correct Shahu, A process audit team is definately required but not a dedicated one. You can always assign a group of people who will manage this auditing internally. The people working their will know the process better and will be able to find loop holes faster.
