The Toostep Meet : Fully sponsored

I propose that the meet should be fully sponsored.  My reasons are the following:

  1. An organisation can highlight its products and services
  2. An organisation can develop contacts through the meet : If its employees develop contacts and exchange opportunities, the collective benefit goes to the organisation
  3. An organisation can recruit people here or rehabilitate those it wants to remove
  4. It is a good opportunity for PR Firms/Ad Agencies/Event companies etc.

Having said this, before we finalilse the event or its agenda, we should seek a open list of willing sponsors and likely sponsorship amount.  It could be like this :

  • We wish to sponsor this event with the objective...
  • We wish to set aside Rs... towards sponsorship
  • Our company profile and participant employee profile is ....
  • Our suggestion for the event is....

Having received this, we should sort out the list on highest value basis.  Top 20 sponsors' needs through this event should be accommodated.  A committee to be formed to explore accommodating other sponsors' needs.

While accommodating sponsors, we get a clear picture on how the event should be.  Seminars/exhibitions and get togethers should first include these topics.

All members of the toostep who are employees of a likely sponsor organisation should make efforts to get sponsorship for the event.

Having met the finance objective, we should focus on the following:

  1. Most communities should conduct community level seminar.  The originator of the community to be the moderator.  Two Experts in the community should become members of the panel of experts.  Two more outsiders should be invited to the panel. 
  2. One week before, members should contribute ideas for discussion at the event.  Top twenty ideas will be discussed.  Recommendations on the 20 ideas will be publicised through national and international media
  3. I propose 14th August evening as arrival date.  15th and 16th August are event dates. 
  4. Please float a website entitled "TooStepMembers.com", very quickly.  All members of TooStep are entitled to become equal members.  Membership Fee is Rs.2000 for life membership.  This should also include membership of a cooperative society - online membership permitted.  The Cooperative society could be converted into a cooperative bank shortly.  We can float an adhoc committee initially.  On the 16th August at 10.30 AM, we can conduct the first General Body Meeting where the managing committee could be formed.
  5. The Timeline could be as follows :
  • Finalisation of sponsor list : 25th June
  • Finalisation of agenda : 5th July
  • Collection of membership details upto 20th July
  • Meeting Notices to be sent by 30th July
  • Event arrangements to start by 10th July
  • Event organising Committee to form by 8th July
  • Event Organising Committee to meet every Saturday at 4.00 PM.  That is.. 11th, 18th, 25th of july and 1st and 8th of August. 

Event organisation details :

  1. Budget for every expenditure - No excess expenditure
  2. Revision of budget allowed
  3. A bank account should be opened.  Authorised signatories should be allowed to operate account online
  4. All communications including meeting notices through a) email  b) SMS and c) publication on the website.  All communications should be referenced.  Compliance report provision should be built in.  All these to be incorporated in the website.
  5. Till the event, all details to remain transparent and published on the website.
  6. Form a reception committee, pr committee, finance committee review committee, hospitality committee, publications committee and technical committee.

I have been thinking that we should know a little more about toostep.  Or rather, toostep founder or moderator should know about us and our plans to meet.  It makes no sense to believe that he is not aware of the toostep meet plan. 

For all practical purposes, what we plan is an event.  What we plan to achieve is interaction and possible publicity for our views and recommendations.  In such circumstances, why will toostep moderator or founder give sponsorship.  He could give us email ids and a possible list of members.  Rest of the job will be on the different committees that gets formed for specific purposes.

I think it is for the sponsor to take a call. 

For example, the news paper that your company owns can become the official print media.  They can offer a cash budget towards expenses or possible agree to become one third sharer of food cost.  In return, they may publicize their business newspaper and appointments supplement. 

Similarly, five hotels and time share companies can come forward with share of expenses of stay and provide a events' office.

Airlines can provide a subsidy on travel.  FMCG and coke/pepsi companies could become main sponsor with a substantial budget.  Ad/pr and events companies could not only offer their services free but also get their clients sponsor varios aspects of the event.  It companies could make a transparent website for the event and maintain it.  IT products can be launched or offerred free.  Companies like Reliance/Kingfisher can participate in more ways than one.

Each of these specific companies can plant events to highlight their product or service. 

That's why I am maintaining the stand that they can indicate a budget - not a commitment - with a condition that they may withdraw the offer if their competitor is given prominence or if the agenda is not suitable to their product of service.  It will then be easy for us to prepare a program that suits the event sponsors.

This is only an indicative plan.  With more clarity on sponsorship, I can provide better plan and projection.

Let me correct things here, Sujit.  No individual sponsorship is even sought for. 

Companies can gain a lot through sponsorship.  It is for them to take a call.  However, toostep members themselves are decision makers in most cases. 

The proposal is for those members who can influence sponsorship decision to come forward.

however my concern is if we can write to toostep.com people about this idea, so that they can give a push to bring sponsors and all other required things to the meeting of toostep.com members...

Let us write to toostep.com that about the idea of meeting withing toostep.com memebers. Lets see what they reply to us.

Is it Possible we contact the founder or modetor or Toostep.com and tell him about the gathering of Toostep.com members,

We can ask him to arrange sponsors, and each everything which is required for gathering. Lets see what they have in there mind...

I can work on it.  However, the fact remains that my idea is to make this event sponsor-oriented.  

Usually, we decide on the structure of the event and then seek sponsors.  The simplest way this event can be explained is that we members of toostep want to meet and interact personally.  And, we prefer this event to be wholly sponsored.  

So a toostep member need not be too woorried, if sponsors of the event achieve their objectives simultaneously, while members meet, discuss, come on TV/Newspapers and mutually arrive at opportunities for employment, business etc.  

All along, I have been striving to send the message across that this is one event a sponsor can get it designed according to his needs!  The only condition should be that he should be amongst the top 20 bidders of sponsorship money.  Priority is for the topmost sponsor and so on down to the 20th.  

All of you are aware of what toostep is.  It has fantastic talent base.  It has power.  It has collective networth which is enormous.  Each of the person present there is a buyer.  Each person is a resource.  Each person is a potential contact.  Most of them can be independent service providers too.  

My idea is that it is an opportunity for a sponsor.  It could be a sponsorship auction.  Let there be bidders.  It is you people who are likely to be decision makers or you can influence decision makers in your company.  So please take up the exercise and make your company bid for sponsorship.

Once we know who the top bidders are, I can correlate the sponsor profile and propose an agenda which should serve general interests of sponsors on the one hand and toopstep members on the other.
