Hi All,
Our company is 4 year old, we do not have any attendence register, we just see the employee and take the attendence daily, we wanted to implement the working hours to our employees ie., 8.30hrs in a day, my boss said US based company dont have any like this but he wanted to indirectly tell all emp's the working hours, and also we have that some emp work more than what they have to. Pl advice me what needs to be done.

If you are in the manufacturing sector and if your employees are 'workmen' as per the definition in Factories Act, 1948, it is illegal to make them work for more than 8 hrs a day. If your employees are not 'workmen', you can put in place a system which will monitor the entry and exit times of your employees. It could be a 'card swipe' system or a manual 'In time' and 'Out time' register. You can communicate to the employees that they are supposed to work for atleast 8.5 hrs. a day. You can also set up the 'Office Hours' during which the employee must be definitely present at the work place. Use this 'working hours' parameter while appraising the performance of your employees and reward employees who are consistently clocking in more than 8.5 hrs. a day. Extracting the minimum needed work hours from your employees is a very basic requirement on your part as a manager. If this is not happening, it can be assumed that things are seriously wrong in the organisation. Having said all this, the information given in the query is insufficient to give any proper and definite answer.

I'm unable to understand how organised is your set-up. Are your employees skilled or semi-skilled and unskilled labourers? How have been functioning for the last 4 years? As per Factories Act, you can not expect to extract beyond 48 hours in a week. You decide on 8 hours depending upon your exigency for six days with a day's off in a week! Cover Casual Leave, Earned Leave (if possible), Half-Pay Leave (for medical purpose), include Maternity Leave and Paternity Leave if your company wants to follow industry standards, and provide for overtime, if you extract work from your employees beyond 48 hours in a week. If you are engaging them for 8 hours a day, its the bound and duty of the manager to monitor their attendance!
